Job Requirements:

  • High School Diploma/GED and at least 2 years of experience in an administrative support role - associates degree or higher is preferred
  • Proficiency in Microsoft Excel, Word, and Outlook - experience with Vision, Sharefile, GoTo Meeting is preferred
  • Excellent organizational and multi-tasking skills
  • Courteous and timely communication skills, both written and verbal, with clients, vendors, subcontractors, and coworkers
  • Courteous phone skills
  • Experience with office copiers & postage machines
  • Creative and critical thinking skills to provide and organize employee events
  • Self-Motivation to complete and take on new tasks
  • Cleanliness and professionalism in personal appearance

Job Description: 

Job responsibilities are diverse within the general office/clerical duties. Training is provided for tasks unique to our office environment. Applicants that are friendly, organized, and have personal flexibility to adapt to priority changes and requests are desired

Expectations Include:

  • Field incoming phone calls and properly ascertain how to best assist the caller
  • Respond to general clerical/administrative requests from managers and staff
  • Project setup in Vision software program, company Intranet, as well as in-company shared network folders, updating and filing the necessary documentation
  • Update company Intranet and directory
  • Prepare letters, documents and reports using various software programs, ensuring the resulting products are accurate and professional in appearance
  • Act as contact and resource for office equipment and supplies
  • Keep office supplies and break-room supplies stocked – track and submit expenses
  • Manage office equipment repairs
  • Schedule job interviews with potential candidates
  • Process email and fax communications
  • Process shipping and postal packages and requests
  • Respond to clients in a timely manner
  • Organize office birthdays as well as monthly and seasonal office activities
